Community Resource Coordinator - Job Description

Reports to: Community Engagement Manager
Direct Reports: N/A
Full time, hourly position.
Summary: The Community Resource Coordinator is responsible for the management of the Public Intake and Intake Diversion Programs

Specific duties of Community Resource Coordinator include, but are not limited to:
  • Development, implementation, and management of Intake Diversion Program. 
    • Research and monitor other successful Intake Diversion Programs to keep our program efficient and up to date with current best practices
    • Work with management to implement manageable change to intake protocols to make room for and focus on Intake Diversion
    • Work toward and build a social services aspect of Intake Diversion Program
    • Assist with social media posts and management for the Intake and Intake Diversion Programs
    • Work with management to create an Intake Diversion budget 
    • Operate within budget and make management aware of needed resources that may be beyond the current scope of the program/budget
    • Develop and maintain relationships with community nonprofit partners to create a network of resources for citizens in need
    • Work with Community Engagement Manager to set goals and key performance indicators for Intake Diversion Program and develop plan to meet set goals
    • Collect, aggregate, and manage data for Intake and Intake Diversion Programs to assist with program development and evaluation
  • Surrender scheduling and counseling
    • Answer all surrender emails, phone calls, and other communication regarding the intake of animals to our program
    • Schedule appointments, provide counseling, divert to Intake Diversion Program whenever possible, complete paperwork, and intake animals
    • Assist with intake examinations as needed
  • Communication
    • Report to Community Engagement Manager
    • Maintain and promote positive communication with direct supervisor and other staff
    • Promote and maintain good interdepartmental relations
    • Keep walkie on at all times and respond to calls as needed
    • Report significant PR issues and/or community complaints to direct supervisor
    • Attend regular one-on-one sessions with direct supervisor
    • Attend regular coordinators meetings
    • Submit monthly report to Shelter Director to be included in monthly board report
    • Keep all staff up to date on changes/updates to program services and protocols
    • Keep all materials and programs up to date
  • Manage supply inventory for Intake Diversion Program
    • Complete weekly supply inventory of available items
    • Research lowest prices on supplies before purchasing
    • Attempt to have items donated whenever possible
    • Work with Volunteer Coordinator to schedule, organize, and implement donation drives of needed supplies
    • Ensure resources are being utilized for maximum impact and efficiency.
  • Working with volunteers
    • Remember that volunteers donate their time, talent, and energy and are not compensated monetarily for their contributions
    • Keep all staff up to date on changes to volunteer programs; provide staff training for volunteer program procedures as needed; ensure that staff are providing accurate information to volunteers
    • Make a commitment to train volunteers: orient them to assigned area, assign work, answer questions, and assist with their needs 
    • Greet all volunteers that you see, and thank them for their help. Make them feel like they’re part of the team
    • Be mindful of your communication around volunteers; keep internal conversations internal, and only involve volunteers in the conversation when appropriate
    • Build relationships with volunteers. Volunteers with an emotional connection will continue to volunteer with us
    • Provide feedback to volunteers when they do something well
    • Offer encouragement, training, and constructive correction if you volunteers break protocol. Feedback should be non-confrontational and specific
    • Request volunteer assistance when you need it by asking volunteers 
    • Request volunteer assistance ahead of time by contacting the Volunteer Coordinator  
    • Engage with volunteers through the Southern Pines Volunteers Facebook group  
  • Other essential duties
    • Keeping all forms and records up to date and current to protocol
    • Maintain a copy of all original documents/forms
    • Maintain equipment
    • Ensure pertinent portions of website is maintained and up to date 
    • Organize and attend and shelter related events delegated to you
    • Attend trainings as required
    • Perform other duties as assigned by management

Thursday - Sunday:  12pm - 5pm
